Build the shortlist before you enrich it

Use a broad search to find candidates, then retrieve details for the matches that matter.

A list of company names is not yet a useful prospect list. You still need to know which companies fit your market and what information would help you approach them. But retrieving every available detail for every candidate creates work before you know whether the candidate matters.

Split the task into two decisions: which companies belong on the shortlist, and which extra fields you need for those companies.

Choose criteria you can check

Start with criteria that the search data can support: location, industry, company size or another available field. Keep a separate list of criteria that need further research. A company description may suggest a fit without proving it.

Ask the agent to return a reason for each inclusion. If the data does not establish a condition, label that condition as unknown. This makes the shortlist easier to review before you spend time on additional records.

Remove duplicates and clear mismatches

Review the initial results before enriching them. Use a stable identifier where one is available, and check company websites when names are ambiguous. Similar names do not necessarily identify the same company; a shared brand does not always identify the same legal entity.

Exclude records that clearly fail the criteria. Keep uncertain candidates separate so that missing data does not silently become a rejection or a match.

Retrieve details for a specific decision

For each remaining company, decide which missing field changes the next action. A website may be enough to start a product review. A location may resolve regional fit. Further enrichment should answer one of these questions, not simply make the row longer.

Inspect the relevant endpoint and its current price before running it. The search-first approach saves money only when the filtering step costs less than the detail requests it avoids. It is a workflow to evaluate, not a guarantee that every search is cheaper than every enrichment.

Deliver a list someone can act on

Keep the final output compact: company, website, reason for fit, relevant details and unresolved questions. Include the Run URLs so workspace members can check the underlying records.

The result should tell you both who to investigate next and why. When the shortlist meets that standard, you can expand the search with the same criteria instead of starting the research again.
